Care Administrative Assistant
Congregation: Hope Church Las Vegas

Position Summary:
The Care Admin helps support the overall Care ministry. This support includes maintaining and managing the organization of events, groups, gatherings and contacts. This is primarily a support staff position that is foundational to the integrity of the ministry.
Duties and Responsibilities:
The job of the Care Admin is to help execute the vision of the Care Ministry. This includes:
- Assist Care Staff with day-to-day office tasks, including but not limited to scheduling appointments, sending out correspondence, taking calls, receiving visitors to the church, and making necessary travel arrangements.
- Serve as liaison between other ministry areas.
- Attend F1 Champion Team meetings and communicate updates and best practices to the Care Team.
- Manage the budget, submit monthly requests, and reconcile charges.
- Create and maintain registration links, confirmation emails, and ministry assignments in F1 for each event, group, and class.
- Run necessary reports in F1 for event attendance, web submissions, and people queries.
- Coordinate with the marketing team to maintain accurate information on the website, schedule congregational advertisements, develop content for Monthly Care Newsletters, and submit content for marketing materials.
- Attend monthly meetings to go over calendar and facility requests with the ministry development team.
- Provide the Connection Center and other ministry areas with updated Care information.
- Assist with planning and setting up for events, groups and classes – including content generation, programming, recruiting volunteers, managing check-in, and overseeing general environment.
- Manage Care TEAMS folders with all our resources, trainings, standard operating procedures, and general documents.
- Evaluate the processes that are helping people find care.
- Assist the Care Director and Care Coordinator in all church projects that relate to our mission as a church.
- Manage events and care activities through the Master Shared Calendar and Planning Center processes.
- Attend and help facilitate Care Volunteer Meetings.
Skills Required:
- Ability to handle sensitive and urgent situations with sound judgement and compassion.
- Experience and comfort in praying with others and providing encouragement and direction.
- Ability to deescalate highly emotional situations and people.
- Proficiency in Microsoft Suite programs: Excel, Outlook, Word, PowerPoint, and Teams.
- Strong written and verbal communication skills.
- Knowledge of available church and community resources, including financial assistance, support groups, and professional counseling services.
- Detail orientated with a passion to complete tasks with excellence.
- Strong interpersonal skills.
- Organization and time management.
- Ability to manage multiple tasks or projects at once.
- Ability to work independently and collaborate with a team.
