Hope Creative Administrative Assistant

Job Type: Part-Time

Position Summary:
The Administrative Assistant operates under the direction of the Hope Creative Director, related to administrative duties, budget and finances for the Creative team. This position works closely with the Creative Director to support the staff with Planning Center event needs and the Creative team in the Services portion of Planning Center.

This individual has knowledge and experience in seeing to the administrative needs of the Hope Creative Director day to day responsibilities, must have some working knowledge and understanding of accounting principles to support the Creative team in budget and financial reporting specific to the creative department.

Duties and Responsibilities:

The duties of the Hope Creative Administrative Assistant include, but are not limited to:

  • Oversees the Hope Creative Directors emails to ensure he respond in a timely manner to things that require his attention.
  • Receive and Respond to incoming calls and voicemails related to appointments and events involving the HC Director, worship events, and finance matters specific to Hope Creative Team.
  • Emails and calls specific to Worship Arts will be forwarded to the Hope Creative Coordinator.
  • Responds to all finance matters for the Creative team.
  • Maintains the Hope Creative Director calendar, schedule meetings, events, and set reminders for upcoming appointments.
  • Work closely with the HC Coordinator to update and manage Planning Center including Service Agendas, times and reminders, volunteer communication, and miscellaneous notes/details.
  • Work with the HC Director and Hope Creative team members to select and plan for all seasonal changes; example: Easter, Christmas, etc.
  • Discuss, plan, and prepare the next month’s budget needs worksheet for the Creative team.
  • Process expenses for the Creative team in Abacus. Maintain register of expenses and receipts to track the team’s monthly budgetary requirements.
  • Work closely with the finance team to provide accurate and reliable reporting for the Hope Creative department.

Skills Required:

The Administrative Assistant in this specific seat supports the Hope Creative Director and the Creative staff administratively. Specific skills required include:

  • Administratively:
    • Ability to collaborate with other ministries with the goal of serving our church family and the kingdom of God.
    • Knowledge of various technology applications related to Microsoft Office as well as the use of a Mac since the Creative team particularly uses Apple products.
    • Experienced in using Planning Center Services Calendar; understanding the components in maintaining the team structures.
    • Ability to create or improve processes to the benefit of the team and volunteers.
    • Be flexible in work hours to accommodate the administrative needs of Hope Creative Director.
    • Have a basic understanding or expanded knowledge of budget and finance to assist the team in keeping within the controls of the annual budget requirements.
    • Ability to proofread and make corrections to documents.
    • Ability to multitask and manage numerous on-going projects.
    • Attention to detail.
    • Ability to make sound, critical decisions under pressure.
    • Ability to self-evaluate, as well as receive and respond positively to feedback.
    • Ability to thrive in a fast-paced, results-driven, high-accountability environment.
    • Ability to plan as well as adapt quickly to change.
    • Must have excellent verbal & written communication skills.
    • Proficient in Excel, Word, PowerPoint, Outlook.
    • Previous experience as administrator and/or customer service.
